Website and CMS Replacement Project RFP Questions and Answers 1) Section C.8, Investment Proposal. Has the City established a budget range for the Year 1 implementation and for annual hosting and support in Years 2 through 5? a) We do have a budget, but it isn’t finalized yet. 2) For the migration plan in Section B, will the City be able to provide a full content export or database extract from CivicLive, or should proposers plan to retrieve content through the live site? a) Content should be pulled from the live site. Active pages are listed on www.auburnwa.gov/sitemap as well as future events listed on our calendars. Hidden or archived pages would not be migrated. 3) Section B.1, requirement 13, and the migration requirements. Will Laserfiche WebLink (weblink.auburnwa.gov) remain the City's document repository, with the new sites linking into it? Are the 903 public and 226 intranet PDFs in the inventory stored in CivicLive itself, and is moving any of them into Laserfiche part of this project? a) Yes, the websites PDFs are stored in CivicLive's document manager and would need to be similarly stored in the new cms. There are links to Laserfiche from our website and those would remain the same. Website PDFs would not be moved to Laserfiche. 4) Section B, Design, Accessibility and Migration (intranet), and Section C.5. Does the City prefer the intranet to be private, with every employee signing in through Microsoft Entra ID? Approximately how many employees use the intranet, and how many staff will edit content across the two sites? a) Yes, the intranet would still need to remain private with access for all employees through Entra ID (approximately 450 employees). We have approximately 40 employees across all departments that are content editors for their department's webpages, and approximately 5 site admins that have full access (and are the final step in approval/publishing workflow). 5) Section B.1, requirement 19, Forms and integrations. The current site links to ActiveNet, CivicClerk, SeamlessDocs (GovOS) forms, GovDelivery and NEOGOV. Which of these should the new site integrate with beyond a link, for example embedded event listings, feeds or sign-up forms, and should any existing forms be rebuilt in the new CMS? a) Links to these external platforms would remain links and we would keep existing forms in SeamlessDocs.
