Video Conference System Upgrade Project

Description

The city is seeking proposals for the implementation of an upgraded video conferencing system across 14 conference spaces located throughout the City’s Civic Center Complex, including 11 conference rooms as part of the mandatory portion and an additional 3 conference rooms as part of the optional portion. This initiative arises from the need to replace our current Lifesize conference system, which has proven difficult for staff to use, with a more intuitive and efficient solution. After a successful pilot program of the Yealink Teams Video Conference System in one meeting room, which received positive feedback for its ease of use and functionality, the city has decided to expand this or equivalent solution. Proposals should present innovative, practical, cost-effective, and security-conscious solutions, focusing on both the immediate system upgrade and long-term maintenance. The project aims to enhance communication and collaboration capabilities by installing a user-friendly, integrated Video Conference system that aligns with the City’s technological advancement goals. The city highly recommends bidders to submit proposals for both the mandatory and optional portions of the project but note that it's at the city's discretion to implement the optional portion.
