Scope of Work HVAC Preventive Maintenance & Maintenance Services Shelby County Judicial Center 1. General Overview The selected contractor shall provide comprehensive HVAC preventive maintenance (PM) and ongoing maintenance services for all applicable HVAC systems serving the Shelby County Judicial Center. Services are intended to ensure operational reliability, occupant comfort, energy efficiency, and regulatory compliance while minimizing unplanned outages and emergency repairs. 2. Equipment & Systems Covered The scope includes, but is not limited to, maintenance and service of the following systems and associated components: • • • • • • • • • Air Handling Units (AHUs) Rooftop Units (RTUs) Split systems and package units Boilers and associated hydronic components Chillers (if applicable) Exhaust and relief fans Pumps, motors, belts, bearings, and drives Control components and field devices associated with HVAC operation Ancillary mechanical components directly supporting HVAC function 3. Preventive Maintenance Services Contractor shall develop and execute a structured PM program that includes: • • • • • • • Scheduled inspections at defined intervals (monthly, quarterly, semi-annual, and annual as applicable) Cleaning of coils, drain pans, strainers, and filters Belt inspection, adjustment, and replacement as needed Lubrication of bearings and moving components Verification of electrical connections, safety, and operating parameters Calibration and operational checks of thermostats, sensors, and control points Documentation of all findings, deficiencies, and recommended corrective actions PM schedules should align with manufacturer recommendations and industry’s best practices. 4. Corrective Maintenance & Repairs The contractor should provide corrective maintenance services, including: • • • • • Diagnosis and troubleshooting of system failures or performance issues Repair or replacement of maintainable components subject to approval Emergency response for system failures impacting building operations Coordination with County staff prior to major repairs or service disruptions Clear identification of work considered inside vs. outside the base contract scope 5.
