Request for Proposals (RFP): Hotel Accommodations, Meeting Space, and Related Conference Services – Orlando/Tampa Region

The Putnam County School District (“District”) invites proposals from qualified hotel providers in the Orlando and Tampa regions to supply hotel accommodations, meeting space, conference services, and related hospitality support on an as-needed basis for District events and functions. The initial contract term is three years, with two additional one-year renewal options available upon mutual written agreement and, if required by District policy, School Board approval.Proposers should include details on lodging accommodations, government or group room rates, meeting and conference space pricing, audiovisual service estimates, catering or concession options, parking, cancellation policies, and any additional value-added services. Awards will be based on overall value, operational suitability, location, availability, pricing, and the provider’s ability to meet District needs.This solicitation aims to establish competitively procured hotel partnerships in the Orlando and Tampa regions, streamlining and standardizing the process for securing lodging, meeting space, and event services throughout the contract term. This will eliminate the need for separate procurements for individual events or activities.
