Take careful note of the addendum so that proper allowance may be made. 1. Questions verbatim: Q. In reviewing your account, I see that bid 2411 – Office and Instructional Supplies is currently in submitted status. That being said, I’ve reviewed the documents attached for bid 2419 – Office and Instructional Supplies, and it appears that many of the same items are included in both bids. Could you please clarify whether the previous bid was cancelled and if 2419 is intended to replace it? A. Bid No. 2419 is a new solicitation issued in replacement of the previous advertised Bid No. 2411. Q. We are reviewing the bid opportunity and would like to clarify whether the District would consider submissions that include explanatory addenda for terms we may not be able to meet exactly as written. For example, one of the terms states: “The successful bidder will provide onsite assistance within the next business day of the District’s request.” Quill LLC does not provide onsite services and would be unable to fulfill this requirement. There may be other terms requiring clarification as well, and we want to ensure we are acting in good faith and submitting a compliant response. Would the District allow us to participate with clarifying addenda included, or are all terms nonnegotiable with no deviations permitted? A. Please refer to General Conditions, section 12. As stated in this section “The successful bidder will provide the needed phone assistance in a professional manner and will reply to district personnel within 24 hours of the received email. In the case of services that need to be performed onsite, the successful bidder will provide onsite assistance within the next business day of the District’s request.” Onsite services are only provided if a need arises. The District’s terms and conditions are specified within the bid packet and are binding. All bidders who submit a bid are agreeing to those terms and conditions as set forth in the agreement. Q. Will you accept items that are packaged in a larger uom than requested.
