1.​ How many direct dials are you currently paying for? 475-500 2.​ Do you want faxing included in our proposal either Efax option or paper options? Yes; EFax is fine 3.​ If faxing should be included, how many fax numbers? Main, nurses office, guidance office, etc. We don’t want traditional fax lines, but we do need to receive faxes from others. 4.​ Do these all need to be paper fax or is Efax acceptable? EFax is fine. We would like to move away from fax machines and separate fax lines. 5.​ Quick question regarding SMS texting, is this a feature the district is requesting for all classroom phone users or office staff? Could you clarify? This answer is cost-dependent. We generally do not need this feature for classroom phone users, but we would like it for district-level accounts. There are 10 of these accounts. If the cost is minimal, then more is fine. We want to avail ourselves to as many features system-wide as possible. 6.​ The Proposal Form offers a "..total sum of _______/100 Dollars..." section but for most cloud-based VoIP solutions, there will be a Monthly-recurring payment (over let's say 60-months) and there will be a One-Time Installation payment covering Project Management, all programming, onsite/remote implementation services (although you mentioned that your staff could handle laying out the phones and connecting them onsite), training of end-users and administrators. Can we supply a sheet broken down by line-item all of the Monthly-recurring charges, One-Time Installation/programming charges, and Ongoing annual Maintenance & Support charges and attach it to this form? Yes, breaking it down by one-time fees and by recurring monthly fees is fine. Just make sure that you include all possible fees in your bid. We will not honor any fee not specifically listed in your RFP in 12-point font. Clarification on installation: Our in-house staff can physically install the phones in each room, however such installation has to be plug and play. We will not manually configure the devices. For example, we will not match MAC addresses to phone numbers, etc. We do not have the staffing to anything more than physical installations. All VLAN or network configuration work will be done in partnership with the vendor. Considering an on-site installation is not required, are the insurance requirements detailed on page 18 still mandatory? Please provide your current insurance policy limits and we will review.
