REQUEST FOR PROPOSAL RFP26-001 Telephone System Replacement Addendum #1​ Questions and Answers​ As of March 13, 2025 ​ RFP26-001 Addendum #1 Page 1 Questions and Answers Question: Can a vendor submit a single bid response but include two options for solutions? Answer: If a vendor wishes to submit two or more responses that include different services, processes or back-end infrastructure, each bid response must be submitted as a separate, complete response. The district will accept alternative costs for minor hardware changes, such as different phone models on the same system design, on a single bid response but all costs must be included on separate bid worksheets that show the total costs for each proposal. Question: Is there a preference for a fully hosted/cloud-based solution versus an on-premises or hybrid system, or is this entirely open to vendor recommendation based on Total Cost of Ownership (TCO)?​ Answer: The district does not have a preference between hosted/cloud-based solutions and on-premises solutions. The selection will be based on the criteria outlined in the RFP Question: What is the current count of SIP trunks and PRIs, and are there specific carriers or contracts in place that need to be considered during porting?​ Answer: The district has a mix of PRIs and SIP Trunks that have not been fully evaluated, and the district will be asking the selected vendor to review current configurations and AT&T billing to identify all lines which will be ported and/or eliminated. The current estimate is 1 PRI with 500 DIDs, many of the DIDs are not currently assigned. The estimate for SIP trunks is 200 line connections with 450 DIDs. The district is not aware of any contractual limitations on the porting of the associated Direct Inward Dial numbers. Question: Can the district specify the number and types of analog devices (e.g., paging systems, emergency lines) currently connected via adaptors, and their exact integration requirements?​ Answer: Exact integration requirements for these systems will need to be determined during the design phase. However, the district believes that the various devices require a mix of FXS and FXO ports. The district will attempt to provide a count of the Analog ports with the next Addendum.
